Setting up Lot Labels in Merchanter
Merchanter includes functionality that allows you to print labels for specific stock lots directly from various areas within the system to a printer set up via Printnode. This feature is particularly useful for identifying, tracking, and managing inventory by enabling you to generate physical labels for individual lots or multiple lots at once. This guide walks you through the end-to-end process—from enabling the feature in your system settings to printing your first lot label.
Enabling Lot Label Printing
Before you can begin printing lot labels, the feature must be activated in your ledger settings. You will need to be logged into Merchanter with a user account that has the Prime role. Navigate to Settings → Organisation Settings → Ledger Settings. In the pop-up window that appears, choose the Ledger Info tab and then click on the Stock Settings sub-tab. Scroll down through the available options until you find the Enable Lot Printing checkbox.
Please note: “Use lots” must already be checked for the feature to work.

Tick this box to activate the feature, then click the Save button at the bottom of the window to apply your changes.
Importing a Lot Label Template
Merchanter uses document templates to define the layout and content of your lot label. Before you can configure the system, you need to import a specific template designed for lot labels.
Ensure you have set up the appropriate AuraQ template file for lot labels; typically, this is done with the help of the Merchanter support team or your system administrator.
This template must be imported into your system's document management area. The AuraQ Dashboard.
The top-level object for this template must be StockManagement.Lot.

If you require any specialised information to appear on the label that is not part of the standard lot data, such as specific product attributes, the development team can investigate creating a supporting microflow to include it as a paid development.
Setting Up a Lot Label Document Template
With the feature enabled and the AuraQ template imported, you must now create a specific document template of the correct type.
Navigate to your system's Document Management area and into the Document Templates menu.

Create a new document template by clicking the New button up in the top left of the screen.

You must now fill in several fields:
- Name: Give the template a logical name like Lot Label.
- Process when: Select always.
- Template Type: Select AuraQ
- AuraQ Template: Select the template created in the previous step.
- Document Type: Select Lot Label
- Document file Name prefix: Add a custom document name if required.
- Can have attachments: leave blank.
- Archive: Tick the check box.

Once all the details are configured, make sure to click the Save button.
Configuring Lot Label Settings
With the document template created, you can now return to the ledger settings to configure the default printing behaviour. Go back to Settings → Organisation Settings → Ledger Settings. In the pop-up window, choose the Documents tab and then click on the Lot Labels sub-tab. Here you will configure several important settings:
- Document Template: The dropdown will only show document templates that you have previously set up with the type Lot Label. Select the template you created.
- Generation Profile: Select PDF from the dropdown, as this determines the file format for the generated labels.

Watermark: Select a default watermark for your labels if required. Options typically include:
- Customer Copy
- File Copy
- Sample Copy
- Transport Copy
- Yard Copy
- Printer Context: Choose your default printer for lot labels from the list of printers configured in your PrintNode account.
- Number of Copies: Set the default number of copies you want printed each time you generate a lot label.

Once you have configured these options, click Save.
