Disabling Excel Downloads in the Grid Menu for Users

In Merchanter you can control which users are allowed to export data from grid views into Excel. This is managed through user roles, and it is relatively simple to switch this feature off. Before you start, you should carefully consider which users require access to exports and which do not, as this setting can be applied with a high level of detail.

Configuring your user role to disable, downloads from the grid view

To begin, make sure you are logged in as a user with the Prime role, as this is required to access these settings. From the menu, navigate to Settings → User Administration → User Roles. On the screen that opens, you will see all of the current roles that exist in your system. You also have the option to create a new role, duplicate an existing one, edit a role, or delete roles.

For this example, we are going to edit a role so that we can change its ability to export to Excel from the customer grid view. To do this, either select a role and click Edit, or simply double-click on the role to open it in the edit pop-up.

Adjusting Export Permissions

Inside the role editor, you will see a series of sections, each with its own settings. Among these settings is a control to enable or disable the ability to export to Excel. This provides you with precise control, enabling you to permit exports from certain areas of the system while blocking them in others.

For example, you might decide that a user role should be able to download product information but should not be able to export customer details.

As you scroll through the different sections, you will see a toggle switch for Export to Excel. Sections such as Cash Draw, Credit Control, Customers, Invoicing, Milling, Price Management, Products, Purchasing, Sales, Stock Control and Suppliers each have their own setting. Simply switch off the areas you wish to restrict for that role.

Once you have made the changes, scroll down and click Save. Users with this role will need to log out and back in again for the new settings to take effect.

By editing user roles, you can quickly disable the ability to export data to Excel from grid views. The flexibility of the settings means you can allow exports in some parts of the system while preventing them in others, giving you full control over how your data is accessed and shared. Once saved, the changes will apply the next time affected users log in.
