Managing Customer Contact Addresses in Merchanter 

Merchanter enables you to link individual customer contacts with specific delivery addresses, communication details, and contact preferences. This functionality streamlines customer relationship management by ensuring every interaction—from order fulfilment to sales communications—is directed to the correct location and tailored to each contact's requirements.

By maintaining accurate address associations against each contact record, your team can confidently process orders, plan deliveries, and engage with customers, knowing that all relevant information is captured in one place. 

Linking a Contact to an Address

When viewing or editing a customer contact record, you can associate that contact with a particular physical address. The address selection interface offers two options:

  • Select from existing delivery addresses already recorded against the customer account
  • Create a new delivery address on the fly if the required address is not yet in the system

This flexibility proves particularly valuable for customers with multiple business locations or when different contacts within the same organisation require goods to be delivered to different addresses.

How to Access and Edit Contact Records. 

To begin, ensure you are logged into the system with sufficient user rights to edit contacts. There are two ways to access customer contacts:

From the Customer Record

Navigate to the desired customer record

Select the Contacts tab

Click New to create a contact, or select an existing contact and click Edit to assign or modify a delivery address

From the Main Contacts Menu

From the main menu, go to Contacts → Contacts

Select Contacts - Customer from the side menu,

Use the search and filter options to locate your contact

Open the contact record and click the edit button in the top right of the window.

Please note: New customer contacts must be created from within the customer record—they cannot be initiated from the main Contacts menu.

Assigning an Address to a Contact

Once you have opened the contact record in edit mode, follow these steps to assign a delivery address:

Click the Find button next to the address field

A list of previously set up delivery addresses will appear, 

with search and filter options to help locate the correct address if the list is extensive

Double-click an existing address to select and allocate it to the contact

If you need to add a completely new address:

Click the Plus button in the top right of the address selection window

Complete the address form with the following fields:

  • Name
  • Address Line 1 (mandatory field)
  • Address Lines 2 and 3 (optional)
  • Town or City
  • County
  • Postcode
  • Country

A Google Map view assists with visual confirmation of the location

Save the new address with the OK button—it will now be available for future selection and assigned to the contact.

Removing an Address

If a contact already has an address displayed in the physical address field and you need to remove it, click the red box with the cross to clear the association.

Multiple Addresses

Please note: Each contact address you create will generate a corresponding delivery address record in the system.

 

 

Viewing Contact Address Information

Once an address is associated with a contact, it appears in several areas of the system:

From the customer record.

Within the customer record's Contacts tab, the contacts table includes a dedicated column displaying each contact's associated address for quick reference.

Within the Contact Record

The contact's address displays prominently at the top of the contact screen, ensuring immediate visibility when reviewing contact details.

If an address is present, a dedicated Contact Address tab shows the location in greater detail using Google Maps integration. 

This visual representation helps your team quickly orient themselves to the delivery location, which is especially useful for planning routes or discussing delivery logistics with customers.

From the Contacts Overview Grid

The standard Contacts - Customer overview page does not display addresses directly within the table.

However, physical address data is included in the background and will populate when you export the grid to Excel. 

This enables comprehensive data analysis and reporting outside of Merchanter.

The contact pages include two filters to help you manage contacts export efficiently:

  • Sales Rep Filter – Narrow the contact list to those associated with a specific sales representative
  • Buyer Filter – Filter contacts based on buyer assignments or purchasing roles

These filters help your team focus on relevant contacts, whether for targeted communications, sales activities, or account management tasks.

Practical Applications

This functionality supports various day-to-day business processes:

  • Ensuring orders are delivered to the correct location for specific contacts
  • Quickly identifying which delivery addresses are used by which contacts
  • Planning delivery routes with visual map references
  • Exporting contact and address data for external analysis or mailings
  • Filtering contacts by sales responsibilities for targeted outreach

By maintaining strong links between customer contacts and their delivery addresses, Merchanter helps you keep accurate records and improve operational efficiency across your customer-facing activities.
